How to Schedule an Instagram Collab Post
A Collab post is one Instagram post that lives on two or more profiles at once. A brand and a creator, two coaches running a joint workshop, a shop and its supplier: each account shows the post in its own grid, and both sets of followers see it.
It's one of the best ways to reach a new audience on Instagram, and one of the easiest to get wrong when you try to schedule it. Here's how Collabs work, who you can invite, and how to schedule one ahead of time.
How a Collab post works
From Instagram's own help pages:
- You invite collaborators when you create the post. They get an invitation, and they "have to accept the collaboration invitation" to be added.
- Once they accept, it's on both profiles. Their username is added to the post, "the post will be shared with their followers", and "it will also appear on their profile."
- Likes and comments are shared. Everyone who accepts "can see all likes and comments on the post."
- You stay in charge. You can remove a collaborator at any time, they can remove themselves, and "only the original creator can delete the post."
- Feed posts, carousels and Reels only. "You can't add collaborators to your stories."
Who you can invite
- From a public account, you can invite public or private accounts.
- From a private account, you can invite an account only if it follows you.
There's also a setting on the other person's side that trips up most Collabs: whether they let people tag them. If their Tags and mentions setting doesn't allow tags from everyone, the invitation can't reach them.
How many collaborators? It depends where you post from
In the Instagram app, you can add up to five collaborators. Through Instagram's API, the connection every scheduling tool uses, the limit is three. So if you schedule a Collab with any tool, plan for three co-authors at most, or post it from the app.
How to schedule a Collab post in PostStage
1. Open the Instagram composer. Collabs work on feed photos, carousels and Reels. (If you switch the composer to Story, the collaborator field disappears, because Stories can't have collaborators.)
2. Add your collaborators. Below the first-comment box, find Collaborators (optional). Type a username and press Enter, or paste a list. The counter shows how many you've added, up to 3. PostStage checks each username, and won't let you add the account you're posting from.
3. Ask your collaborators to check one setting. This is the step that saves most Collabs. Each collaborator should open Instagram → Settings → Tags and mentions → Allow tags from → Everyone, and their account should be public. If not, Instagram refuses them.
4. Write the caption and schedule. Pick the date and time, and add a first comment if you like. The post goes out at the exact second you set, and the invitations go out with it.
5. Watch the post page. Once the post is live, its page in PostStage has a Collaborators card showing each person as invited, accepted or not added.
What happens if Instagram refuses a collaborator
Instagram can turn down a whole post because one collaborator can't be tagged. PostStage works around that: if Instagram refuses someone, the post still publishes with the collaborators it accepted, and the post page tells you who was left out and why, with the setting they need to change. Your launch goes out on time even if one partner's settings weren't ready.
Tips for a Collab that works
- Agree the caption together. It appears on both profiles, so both brands should be happy with it before it's scheduled.
- Tell your collaborator when it's going out. They need to accept the invitation, and their followers see the post from the moment they do.
- Use it for real partnerships. A joint launch, a guest tutorial, a giveaway with a partner brand or an event you're both at. Followers notice when a Collab is just a cross-promotion swap.
- Pick a Reel or a carousel. They're the formats people share, and a Collab's reach comes from both audiences seeing and passing it on.
Frequently asked questions
How many collaborators can an Instagram post have? Up to five when you post from the Instagram app. Scheduling tools, which use Instagram's API, can add up to three.
Can I add a collaborator to an Instagram Story? No. Instagram doesn't allow collaborators on Stories, only on feed posts, carousels and Reels.
Why didn't my collaborator get the invitation? Usually because their Tags and mentions setting doesn't allow tags from everyone, or because their account is private and doesn't follow yours.
Does the post show on both profiles straight away? On yours, yes. On theirs, once they accept the invitation.
Is scheduling Collab posts free in PostStage? Yes. Collaborators work on every plan, including Free.
